1. Who we are
Memvio.ai ("Memvio", "we", "us" or "our") provides a private memory and productivity service that helps users capture, organise, search and act on information from voice recordings, typed memories and connected services. For privacy questions, contact [email protected].
2. Information we process
Depending on how you use Memvio, we may process account information, profile details, voice recordings, transcripts, summaries, memories, tags, categories, tasks, calendar events, contact details, linked people, settings, search queries, usage metadata and support communications.
When you connect Microsoft or other third-party accounts, we may also process account identifiers and the data you choose to make available through the connection, including calendar events, contacts, tasks and email data. We only request permissions needed for enabled features.
3. Voice recordings, transcripts and AI processing
Voice recordings may be transcribed and processed to create transcripts, summaries, structured memories, tasks, calendar events, people/contact links and other action suggestions. Audio retention depends on your plan and settings. Derived memories may be retained until you delete them or your account.
Memvio may use AI service providers to transcribe, summarise, classify, embed and extract structured information from your content. We do not use your private Memvio content to train public AI models unless we explicitly tell you and obtain any consent required by law.
4. Microsoft and other connected services
If you connect a Microsoft account, Memvio may access and synchronise data such as your Outlook calendar, contacts, Microsoft To Do tasks and Outlook email, depending on the permissions you grant and the features you enable. Memvio may create, update, read or delete connected items when you ask it to do so or when a synchronisation setting you enabled requires it.
Connected-service data remains subject to the permissions you grant. You can disconnect an account from Memvio at any time. You may also review or revoke Microsoft app consent through your Microsoft account or organisation's app-consent controls.
5. How we use information
- to provide recording, transcription, memory, search and productivity features;
- to create and manage tasks, events, contacts and email actions you request;
- to synchronise data with services you connect;
- to personalise and improve the service;
- to secure accounts, prevent abuse and troubleshoot technical problems;
- to comply with legal obligations and enforce our terms.
6. Legal bases
Where UK GDPR or EU GDPR applies, we generally process personal data because it is necessary to provide the service you requested, because we have legitimate interests in operating and securing Memvio, because you have given consent for an optional feature, or because we must comply with a legal obligation.
7. Sharing and subprocessors
We may share data with hosting, storage, transcription, AI, authentication, email-delivery and analytics providers where necessary to operate Memvio. We may also transmit data to Microsoft, Google or another connected provider when you direct Memvio to synchronise or perform an action there. We do not sell personal data to advertisers.
8. Private and AI-sharing controls
Memvio is designed to let you control what connected AI systems can retrieve. A memory marked Private or Never Share With AI is excluded from AI disclosure even if broader category sharing is enabled.
9. Retention
We retain account and memory data while your account is active and as needed to provide the service. Audio may be deleted automatically according to your plan or settings. Connected-account credentials are retained only while the connection remains active and are removed or invalidated when you disconnect where technically possible.
10. Security
We use technical and organisational safeguards intended to protect your information, including access controls and encryption of sensitive connection credentials. No online service can guarantee absolute security.
11. International transfers
Some service providers may process data outside the United Kingdom. Where required, we use recognised safeguards for international transfers, such as adequacy regulations or contractual protections.
12. Your rights
Depending on applicable law, you may have rights to access, correct, delete, restrict or object to processing of your personal data, receive a portable copy, and withdraw consent where processing is based on consent. You may also complain to the UK Information Commissioner's Office or another competent supervisory authority.
13. Children
Memvio is not intended for children who are too young to consent to an online service under applicable law unless used with appropriate parental or guardian involvement.
14. Changes to this statement
We may update this statement as Memvio changes. We will publish the current version on this page and update the date above.
